Mathematics Study Space for 2020-2021

Current availability and access to study spaces as part of the School of Mathematics

1. Introduction

Bookable study spaces are now available in JCMB for School of Mathematics students in Years 2 – 5 as well as MSc students. These consist of:

  • Individual study spaces for students.
  • A bookable room for group work for Year 4/5 students undertaking project work.

The individual study spaces for students will operate in a similar manner to the blocks of time for on- campus teaching: students will be able to access the study spaces only on the day (or for MSc students days) to which they were assigned for possible on-campus teaching.

In the rest of this document we provide further important information, including how to book a space. Any questions should be emailed to maths.health.safety@ed.ac.uk.

2. Group study space room for Year 4/5 project work

Room 3211 is available for group work for Year 4/5 students who are undertaking project work. The maximum capacity of this room is 6 people. This can be booked any day of the week for slots of any duration. Please do not book it for longer than your group requires it.

Further to University requirements, this room has to be booked at least one working day in advance. Details of how to book are in Section 4 below. You cannot use this room if you have not booked. Booking should be made by one person on behalf of a project group. This room should not be booked for single occupancy use.The maximum capacity of this room is 6 people and further details about this room are included in the attached Appendix below.

3. Individual study space rooms

The rooms currently available for individual study space are: 5310, 6 available study spaces 5311, 4 available study spaces 5312, 10 available study spaces 6309, 9 available study spaces

Spaces have to be booked advance using the online system.

Important points to note are:

  • Further to University requirements, these rooms can only be used as bookable study spaces and are not available to drop in. 2
  • You should only book a study space for the day or days (for MSc students) of your assigned block/s.
  • If your assigned on-campus teaching block was in a morning then you should only book a study space in one of these rooms for the afternoon of that day; if your assigned on-campus teaching block was in an afternoon then you should only book a study space in one of these rooms for the morning of that day.
  • Study spaces are available for 2 hours slots – 9am to 11am, 11am to 1pm, 2pm to 4pm and 4pm to 6pm.
  • You can book up to two slots per day: if you book two slots these must be in the same half day period (i.e. morning or afternoon).
  • Staff in the School of Mathematics will monitor the use and take up of study spaces and may make changes. We will update you about this if that happens. The Appendix below provides further information about the available rooms/spaces.

4. How to book a room

Study spaces must be booked in advance via https://apps.maths.ed.ac.uk/room-bookings/index.php.

You will be asked for your university login name and password before you can access the booking system.

On initially accessing the system the page will show the current day view for room 5310.

1. Initial access to the page

You should use the caledar on the left hand side to navigate to the correct date. You can then use the Select Room box in the middle of the page to check availability in different rooms.

It is important to note that spaces do no correspond to specific seats. You can chose any available seat for your study space booking and when you go to the room for this booking you can chose which seat to use (though please don’t change seats during that session).

2. Booking a study space slot

You should only book a study space for the day or days (for MSc students) of your assigned block/s.

To move to the booking stage you can click on a Space/slot and a new window will pop up.

Available slots will be: 9am to 11am, 11am to 1pm, 2pm to 4pm and 4pm to 6pm.

If you set the Privacy status of your booking request to Public then other students will be able to see the brief description that you have entered for the booking as well as your student number. If you set the Privacy status to Private this information should be hidden.

There are no day/time restrictions for bookings for room 3211 for small group work for Year 4/5 students who are undertaking project work. This can be booked any day of the week for slots of any duration. For any bookings for this room the person making the booking must include the student numbers of all of those who will be attending the session in the “Full Description” box in the booking page.

After submitting your booking entry the School Office will receive this request – they will check that the booking meets the School’s criterion for booking. You will then receive a booking confirmation email. If there are issues with your booking you will be contacted with a request to revise or, in some cases, delete the request. 4

5. Using our study space rooms

We have reconfigured the furniture in each of these rooms to support social distancing and rooms will have been cleaned at the start of each day.

You can only use one of the study space rooms if you have booked a place one working day in advance.

The University requires that we regularly monitor our study spaces throughout the day and you may be asked for your student number so that staff can check that you have pre booked. With this partly in mind please sit in the right room and arrive and depart in accordance with your booked slot.

On arrival to the room you can chose any available seat but please do not change seats during your two hour slot. Chairs/furniture must not be moved.

Face coverings are required in study spaces as per Scottish Government guidelines and must be worn throughout your study space time.

Room maximum capacity must not be exceeded.

There is hand sanitizer and sanitizing wipes in these rooms and you should wipe down your desk before and after use.

Social distancing must be maintained.

The kitchen areas for these rooms can only be used to access hot/cold water. Food and drinks can instead be purchased at the Magnet Café and consumed in that area.

These rooms can only be used as bookable study spaces and are not available to drop in, either for social or study space. Because face covering should be worn at all times these spaces should not be used for the consumption of food, though you can remove your face covering for very brief periods for drinking water etc.
